2. Who we are
Mi Climate Limited is responsible for the personal information it collects through this website. Contact info@mi-climate.co.uk with privacy questions or requests. This policy covers this website; the linked room estimator and external providers may also display their own privacy information.
3. Information we collect
We collect the information you provide when asking for a quote, requesting a visit or contacting us. Please only share information needed for your project.
- Your name, business name, email address and telephone number, where supplied.
- Project or site location, service requirements, equipment details, budget and preferred timeline.
- Preferred visit date and time, PPM building type and package choice, or fire damper staffing and duration.
- Approved quote amounts, invoices, payment references, payment status and correspondence.
- Owner sign-in and profile information, and technical information used to operate and protect the website.
4. Why we use your information
We use your information to respond to enquiries, prepare quotes, manage requests, arrange agreed services, issue invoices and maintain payment and business records. An enquiry is saved before notification emails are sent.
Our lawful bases are taking steps at your request before a contract and performing a contract; legal obligations such as keeping financial records; and legitimate interests in business administration, security and responding to enquiries, where these interests do not override your rights. Where we rely on consent, you may withdraw it without affecting earlier lawful processing. Contact permissions on a request are not a subscription to unrelated marketing.
5. Service providers and the AI finder
Our website uses Lovable Cloud for hosting, request storage and owner authentication, Lovable managed email services for notices, and Stripe for secure payment checkout and payment records. Payment card information is entered in the provider’s checkout, not our enquiry forms. These providers process information needed to deliver their services; some may also act as independent controllers for their own legal or security obligations.
If you use the AI service finder, your description and selected client type are sent through Lovable’s AI Gateway to an AI provider to generate a service recommendation. Do not include names, contact details, access codes, sensitive information or information about other people in that description. Recommendations are general guidance, not a diagnosis or an automated decision about accepting your project.
We may share necessary information with people delivering your agreed services, professional advisers or authorities where required by law. If information is processed outside the UK, applicable data protection requirements and appropriate transfer safeguards must be met. Contact us for information about the providers and safeguards relevant to your request.
6. Keeping information secure and retaining it
Access to saved requests and invoices is restricted to authorised owner access. We use appropriate access controls and hosted services, but no online service can guarantee absolute security.
Enquiry records are retained while a request remains active and while follow-up or a resulting project requires them. Project records are retained to fulfil the agreement and address relevant warranty obligations or disputes. Invoice and payment records are retained for applicable tax and accounting requirements. Security records are retained according to the need to investigate or prevent misuse. Retention is assessed by record type and legal requirements rather than a single period for all data. Contact us for the period relevant to your information.
8. Your rights and complaints
Depending on the lawful basis and circumstances, you can request access, correction, deletion, restriction or portability of your information, or object to processing. You can withdraw consent where consent is the basis. We may need to verify your identity and may retain information where required by law.
Email info@mi-climate.co.uk to exercise your rights. We normally respond within one month; any lawful extension will be explained. You can also complain to the Information Commissioner’s Office at ico.org.uk.
